Map what each location actually does
An office, warehouse, retail shop and production unit may need different records and permissions. Start with the address, legal entity, activity, stock and workforce at every location rather than copying one branch’s checklist.
Coordinate central and local owners
Central teams can reconcile accounts and maintain a master calendar, while local staff supply attendance, premises and inspection evidence. Assign responsibility for both the source document and the final filing.
Maintain a location register
- Entity, address, municipality and activity.
- Tax and operating registrations with current status.
- Lease, property-use and safety documents.
- Workforce details and local administration contacts.
- Stock movements and inter-location invoicing processes.
Review expansion and closure events
Adding a warehouse, moving employees or closing a branch can change the worklist even if the overall company is unchanged. Track the effective date and reconcile the old and new records so neither location is left with unexplained transactions.
An example to check
A centrally managed warehouse may hold stock belonging to more than one entity. The location register and stock records should make ownership clear before tax, invoicing or permission assumptions are made.
How an engagement begins
Provide the location list and operating model. We can build a responsibility matrix and identify state-specific questions; local permissions and employment requirements are assessed for each site rather than presumed uniform.
Connect each location to the right workstream
Before opening or changing a site, use multi-location expansion review to organise the premises and activity questions. Provide the proposed use, opening sequence and local contact for each address, including sites still under negotiation.
For recurring tax data, GST return filing support starts with the registrations and transaction records covered by the engagement. Agree how branch data reaches the central team and how corrections are tracked after a reporting cut-off.
Use the state and union territory directory to find location context and authority references. Keep the actual municipality, premises use and workforce facts alongside that research so a state-level overview is followed by a site-specific assessment.
Keep a branch move traceable
For a warehouse move, record when stock leaves the old site, where it arrives and which entity owns it. Keep the stock reconciliation with the old and new premises documents and identify transactions that still refer to the former address.
The handover should assign responsibility for records, customer or supplier communications and each permission or registration question. Mark a task complete only against the relevant evidence; handing over the keys and finishing the administrative work are separate milestones.
