Identify who teaches and who awards
A recognised institution, private training provider and learning-platform supplier have different roles. Record the awarding body, course, delivery mode and academic period before using recognition or accreditation claims. A technology agreement does not by itself establish authority to award a qualification.
Check the programme and period
For regulated online or distance qualifications, inspect the relevant UGC DEB recognition or entitlement information and applicable conditions. Do not infer permission for every course from the institution’s name or an approval for a different period or mode. Other education categories may involve different regulators.
Make learner terms match delivery
Keep fee schedules, refund terms, course duration and assessment promises consistent across enrolment documents and advertising. Retain evidence of delivery and changes agreed with learners. Avoid unsupported placement or qualification guarantees.
Maintain the wider evidence
- Faculty and contractor agreements, including content rights.
- Premises and safety records for physical centres.
- Learner-data access, vendor and retention responsibilities.
- Fee receipts, instalments, refunds and deferred delivery reconciliations.
- Partner-institution agreements and the limits of each party’s role.
A practical example
A platform hosting a university’s content should distinguish its support role from the institution’s academic responsibility. Marketing and learner invoices should not suggest a different awarding arrangement from the signed agreement.
How support is scoped
Kosha can organise accounting, contracts and the compliance worklist. Recognition, academic standards and specialist education-law conclusions require the relevant authority or qualified adviser. Tax treatment is assessed from the actual supply rather than the education label alone.
Keep a programme-level evidence file
Record the course title, awarding arrangement, delivery mode, location and period alongside the supporting agreement or recognition document. Keep proposed programmes separate from those already enrolling learners, and identify the person who confirms the wording used in admissions material.
Education and training compliance support starts with that programme map. Commercial contract review examines the arrangements between the institution, platform and other delivery partners using the actual scope each party performs.
Trace fee changes to the learner arrangement
For a learner moving between cohorts, connect the original enrolment, amount paid, revised schedule and any agreed credit or refund. Retain the communication supporting the change so the delivery team and finance team work from the same record.
Bookkeeping and monthly close can reconcile the fee schedules and receipts within the agreed assignment. Keep unresolved cancellations, instalments and partner settlements visible rather than treating one bank receipt as proof that every related learner balance is settled.
