Identify the operator and service
A hotel owner, management company, homestay operator and travel agent have different contracts and responsibilities. Record who operates the premises, contracts with guests, receives money and supplies each part of a package.
Separate classification from operating permissions
The Ministry of Tourism offers voluntary classification and recognition schemes. A classification does not replace the site-specific permissions required to operate. Assess local premises, safety, food and other activity requirements for the actual property.
Reconcile bookings and receipts
Keep room revenue, food sales, commissions, deposits, cancellations and refunds traceable. Platform payouts should reconcile to bookings and deductions. For travel packages, identify whether the business acts as principal or intermediary before drawing accounting or tax conclusions.
Maintain the operating evidence
- Property and management agreements with current permissions.
- Staff, contractor and payroll records by location.
- Supplier agreements and guest complaint records.
- Guest-data access and retention responsibilities.
- Transport and international-service documentation where relevant.
An example
A hotel opening a restaurant or adding a transport service should assess those activities separately. The original accommodation file may not answer the new food, vehicle or contract questions.
How support is scoped
Bring the property list, operating agreements and booking channels. Kosha can coordinate accounting and permission records with the responsible specialists. Technical safety assessments, classification inspections and authority approvals remain outside administrative coordination.
Keep booking exceptions attached to the stay
Use a booking reference to connect deposits, final bills, platform settlements and refunds. Identify who collected each payment and which deductions explain the amount received. Retain the cancellation terms and correspondence relevant to an adjustment.
For example, a cancelled reservation may produce a guest refund in one period and a platform adjustment in another. Track both against the original booking so monthly-close work can distinguish a timing difference from an unresolved balance.
Prepare for an operator or service change
When a property changes management, prepare a handover of future bookings, guest deposits, supplier commitments and current permission records. Identify the entity responsible for each item and any communication still needed with a guest or supplier.
Commercial contract review starts with the management agreement and proposed allocation of responsibilities. Business licence assessment starts with the premises, operating entity and activities. Give both workstreams the same description of the proposed arrangement, including food, events or transport services.
