Define the project and role
A promoter, landowner, construction contractor, broker and property lessor have different responsibilities. Record the agreements, project location and scope before applying a generic real-estate checklist. Joint-development arrangements need particular clarity about who does what.
Map permissions by project
Review the relevant state RERA framework, project facts and agent role where applicable. Land title, planning, building and environmental permissions remain distinct questions. A registration entry does not replace technical approvals or establish clear title.
Keep project accounts traceable
- Customer agreements, instalments and refunds.
- Project-wise receipts, costs and financing records.
- Contractor bills, retention and certified work evidence.
- Inventory, work-in-progress and allocation workings.
- Permission conditions and reporting acknowledgements.
Coordinate site and workforce records
Identify employees and subcontractor responsibilities at each site. Safety, labour and technical certification require the appropriate qualified input. Tax treatment depends on the transaction, project stage and contract; do not assume every property-related receipt follows one rule.
An example
A contractor’s certified bill may differ from cash received because of retention or deductions. Preserve the reconciliation so accounts, tax review and the commercial claim use the same evidence.
Prepare the engagement
Bring the project agreements, location, approvals and financial records. Kosha can coordinate accounts and compliance documentation. Title opinions, engineering certifications, RERA legal conclusions and authority representations are separately scoped with eligible professionals.
Keep variations separate from the original scope
Maintain a register connecting each proposed change to the instruction, revised quantity or specification, commercial agreement and related bill. Distinguish work requested, work certified and amounts accepted for payment so the project and finance teams can explain differences.
For example, additional work may be completed while its price remains disputed. Retain the site instruction and supporting records without presenting an unagreed amount as a settled commercial entitlement. Commercial contract review can assess the relevant terms and correspondence within the agreed scope.
Prepare a project-level finance handover
Connect certified bills, advances, retention, deductions and receipts by project and counterparty. Keep disputed items and pending certificates visible, with a named contact for each explanation. Bookkeeping and monthly close uses those schedules to reconcile the accounts.
When a project team changes, hand over the latest agreed contract set, open variations and unpaid balances together. Preserve the evidence supporting completed actions so the incoming team can follow the commercial history without relying only on a summary spreadsheet.
