Confirm the applicant and registration type
Record the legal name, PAN, constitution, state and reason for registration. Distinguish the legal entity from its trade name and confirm the registration category before assembling a normal-taxpayer application.
List the principal and additional places of business relevant to the application. Use the actual activities at each location instead of describing every address as an office when it is a warehouse, shop or another establishment.
Prepare entity and people information
- PAN and legal identity details of the applicant.
- Incorporation, registration or constitution evidence appropriate to the entity.
- Promoter, partner or responsible-person particulars requested by the form.
- Photographs and identity information required for the selected roles.
- Authorised signatory appointment evidence and contact details.
- Business activity and goods or services information for the application.
Match premises evidence to possession
For owned premises, prepare an accepted ownership-supporting document. The GST portal manual gives examples such as property tax, municipal records or electricity bills. Ensure that the document identifies the location being declared.
For rented or leased premises, the portal manual describes a valid rent or lease agreement together with supporting evidence of the lessor’s ownership. For consent-based premises, it describes a consent letter with evidence supporting the consenter’s ownership. Review the current instructions for the exact arrangement and any special circumstances.
Resolve address inconsistencies
Compare the building number, floor, locality and postal details across the application and supporting records. Explain legitimate differences with evidence rather than altering an original document. Confirm that an agreement covers the actual premises and parties.
For example, a utility bill may show the owner’s name while the applicant occupies under a lease. Keep the lease and ownership-supporting record together so the relationship is clear. A bill in another person’s name alone does not explain the applicant’s right to use the premises.
Arrange authorisation and authentication
Prepare the applicable authorisation letter or resolution and verify who can sign the application. Confirm access to the relevant mobile number, email and signing method without transferring long-term control of personal credentials.
Follow the portal’s authentication or verification instructions for the applicant’s case. Additional steps can depend on the selected process and system requirements; do not promise approval merely because the document upload is complete.
Check the upload pack
Use readable, complete files within the current portal size and format limits. Inspect every page after compression and ensure signatures, dates and addresses remain legible. Avoid adding unrelated personal documents simply to make the pack appear larger.
Keep an index linking each attachment to the field or requirement it supports. Save the submitted application and attachments so a later query can be answered against the exact version filed.
Track queries and the final outcome
Record the application reference, status and any clarification deadline. Respond to the specific issue with accurate supporting evidence and retain both the query and reply. A submission reference is not the registration certificate.
After approval, verify the certificate details and organise the applicable follow-up obligations, including bank information and operational records under current requirements. Kosha.Services can help review the pack and coordinate the application; provide the actual entity and premises documents at the outset.
