GSTR-2B reconciliation

Match purchase records to GSTR-2B and assess input-tax-credit eligibility separately. Keep a record of statement versions, IMS actions, supplier follow-up and the amount ultimately reported in GSTR-3B.

Use the right statement for the return period

Download the relevant GSTIN’s GSTR-2B and record its generation or recomputation time. Retain the purchase register used for the same review. The invoice date, supplier reporting period and recipient credit period may differ, so preserve all three instead of forcing every record into the invoice month.

GSTN’s Invoice Management System guidance provides for recomputation of GSTR-2B following relevant action changes. Recheck the current workflow before filing and retain the statement actually used for the final calculation. Do not assume that the first draft remains the final source.

Match invoices and notes systematically

  • Use supplier GSTIN, document type, document number and date as matching inputs.
  • Compare taxable value and each tax head, not only total invoice value.
  • Separate debit notes, credit notes and amendments from original invoices.
  • Flag records found only in books, only in the statement or with different amounts.
  • Detect duplicates across periods before treating a late-reported invoice as new credit.
  • Review import and other specialised records through the relevant supporting documents and portal process.

Assess eligibility after matching

A matched invoice is an accounting result, not a complete legal conclusion. Review the applicable conditions for credit, receipt evidence, business use, restrictions, reversals and time limits for the transaction and period. Maintain the reason for excluding or deferring an amount even if it appears in the statement.

Conversely, an unmatched purchase should be investigated rather than deleted from the books. It may require supplier correction, additional evidence or a different treatment. Keep the purchase accounting and credit decision linked but distinct.

Use IMS actions with evidence

Assign responsibility for accepting, rejecting or keeping records pending where the relevant functionality permits it. Check the document against the underlying transaction before selecting an action. Use the current GSTN rules for the document category; do not assume every record offers the same options.

For example, a supplier reports an invoice twice. Verify both records against the purchase register and original invoice, document the duplicate and coordinate the appropriate correction. Accepting both merely because they appear in the dashboard can distort the credit calculation.

Track supplier corrections to completion

Send a focused discrepancy schedule with the supplier GSTIN, invoice reference, reported values, expected values and supporting evidence. Record the requested action and follow-up date. A promise to amend is not the same as the corrected record appearing in the relevant statement.

When a correction arrives, link it to the original exception and check whether credit was already claimed, reversed or deferred. This prevents the same invoice entering the calculation twice in different months. Retain a separate history for disputed credit notes.

Bridge the review to GSTR-3B

Prepare a calculation showing the statement amounts, eligibility exclusions, required reversals, permitted reclaims and the final return treatment. Explain each adjustment with a source record and applicable basis. Do not use a balancing figure simply to make the books equal the auto-populated return.

After relevant IMS actions and recomputation, compare the final statement with the approved credit schedule. Keep the filed return, acknowledgement and review file together. Unresolved items should have an owner and a next action rather than disappearing after filing.

Prepare a useful review pack

Bring the purchase register, invoice and receipt evidence, GSTR-2B exports, IMS action history, earlier credit calculations, reversals and supplier correspondence. Include import documentation and notices where relevant.

Kosha.Services can help organise matching, investigate exceptions and maintain the credit bridge. Eligibility and correction decisions depend on the actual transaction and governing period; a software match cannot replace that assessment.
