Start with the taxpayer and filing period

Confirm the legal taxpayer, entity type, residential status, filing period and reason for the return. A proprietor’s business is reported in the individual’s tax context, while a company or LLP has its own return. Identify the applicable law and prescribed return for the period before collecting form-specific information.

Keep prior returns and computations available, especially where losses, credits, elections or revised figures carry forward. Filing during a transition between tax laws does not mean every historical period uses the newest form or terminology.

Identity and authorisation file

  • PAN, entity constitution and incorporation or partnership records as relevant.
  • Current address, contact and bank details needed for the return.
  • Authority and verification arrangements for the person filing on behalf of the entity.
  • Prior return acknowledgements, computations and material elections.
  • Details of changes in ownership, partners, directors or business activities where relevant to reporting.

Accounts and transaction evidence

Prepare the final trial balance, financial statements and ledgers with bank reconciliations. Include sales, purchases, receivables, payables, inventory, fixed assets, borrowing and related-party balances. Explain unusual entries and adjustments rather than handing over only a profit-and-loss total.

Keep invoices, contracts, bank evidence and asset records that support material income and expenses. Separate capital purchases, owner drawings, loans and transfers from ordinary business receipts and expenditure. The tax computation may differ from accounting profit, so retain the bridge between them.

Tax payments and third-party information

Download the available tax-credit and information statements for the relevant period, including AIS and TIS where applicable. Match deductions, collections and tax payments to certificates, challans and books.

The Income Tax Department explains that AIS contains information available to it and that the taxpayer remains responsible for complete and accurate reporting. Investigate duplicates, wrong amounts and omitted transactions; do not assume that a prefilled figure is the final taxable amount. Retain any feedback and the supporting reconciliation.

Documents for conditional claims and disclosures

  • Tax-audit or other required reports and their acknowledgements, where applicable.
  • Depreciation schedules, acquisition dates and evidence of business use.
  • Loss and credit histories with prior-period support.
  • Payment dates and counterparty information relevant to deduction conditions.
  • Foreign income, assets, remittances and related-party dealings where reportable.
  • Evidence supporting exemptions, incentives or special computation methods actually claimed.

Example: bank credits exceed turnover

A business receives customer payments, a bank loan and money transferred between its own accounts. The total bank credits therefore exceed sales. Build a reconciliation that identifies each category and links it to the ledger and supporting document.

Do not remove a receipt from taxable income merely because it is labelled a transfer. Verify its source and substance. Equally, do not automatically report every bank credit as sales without examining what it represents.

Review before submission and verification

Reconcile the return to the approved computation and accounts. Check taxpayer details, period, tax payments, bank information and required schedules. Resolve material differences or record the supported treatment before filing.

Keep the submitted return, acknowledgement, verification evidence, computation and supporting reports. A prepared draft or uploaded file is not necessarily a completed filing; confirm the required verification step and resulting status.

Retain a usable evidence file

Organise records by period and issue so a later question can be answered without reconstructing the entire year. Preserve source documents and the final versions used for filing. The required retention period depends on the applicable obligations and proceedings; do not delete records solely because the return has been processed.

Use an agreed secure channel to share documents with the preparer and avoid including credentials or unnecessary personal information in ordinary email attachments.
