Separate battery categories and transaction evidence
We map the entity’s role and battery types, including batteries supplied within equipment where relevant. The records exercise identifies what can be established from purchase, import and product data and what requires supplier clarification.
Outputs can include a registration worklist, weight and quantity reconciliation, return preparation file and certificate-use register. Current portal notices are checked for the reporting period rather than treating an earlier deadline as permanent.
Build a battery register that connects each equipment model or standalone battery item to its specification and source record. Identify the number of batteries per unit and distinguish battery weight from the weight of the complete product or packaging. Keep missing specifications visible as evidence requests rather than silently applying one average across unrelated models.
What to prepare
- Battery chemistry, category and weight specifications
- Standalone and equipment-embedded supply records
- Import, manufacture and sales data by period
- Portal credentials held by the client, returns and certificates
Retain supplier specifications with their revision dates and reconcile the working quantities to the selected period’s import, production or sales records. Record the basis for conversions and identify replacements, returns and internal movements separately for review. The working file should let another person trace a total back to the model data and transactions that produced it.
A practical example
An equipment importer may have a product count but no reliable battery weight. Obtain model-level specifications before estimating the reporting base across mixed models.
If a supplier changes the battery pack during a model’s production run, the latest specification may not describe earlier units. Request the effective change date and supporting shipment or batch information. Where the business cannot establish the split, record the uncertainty and the proposed resolution instead of presenting an unsupported model-wide weight as confirmed.
Scope, fees and responsibilities
Battery EPR is a separate stream from e-waste reporting. Applicable targets and filing dates require current checks. Recycling arrangements, laboratory confirmation and disputed historical quantities are outside the base reconciliation unless agreed.
The proposal identifies the deliverables, client data responsibilities and follow-up included. Government charges and external technical work are quoted separately where applicable.
The handover distinguishes the reconciled data, unresolved items, prepared reporting file and completed portal actions. Assign responsibility for keeping specifications current when new models launch or suppliers change. Certificate records and submission acknowledgements remain linked to their reporting period; a prepared spreadsheet alone does not demonstrate completion of the relevant obligations.
