Match products to the covered equipment categories
We review the product portfolio, brand and import arrangements against the relevant equipment schedule and producer-registration guidance. Product names used in a sales catalogue may be insufficient to select the correct portal category.
The work can include a category mapping, period-wise quantity reconciliation, registration document pack and reporting evidence index. Refurbisher, recycler and producer activities are recorded separately rather than combined into one role.
Create a model-level register linking the commercial product name to its technical description, proposed category and supporting specification. Identify discontinued models and new launches rather than relying only on the current sales catalogue. Where the category is uncertain, record the question for resolution before rolling the model into a reporting total.
What to prepare
- Product specifications and model catalogue
- Own-brand, manufacturing and import arrangements
- Period-wise sales and import quantities
- Registration, historical returns and recycling certificate records
Reconcile the product register to the quantity records used by sales, procurement and imports. Keep units and weights clearly labelled, with the source of any conversion documented. Explain returns, replacements and transfers separately so the working file can be reviewed without assuming every movement is a new sale. Retain the version of the data used for each reporting period.
A practical example
A business importing finished equipment and reselling spare components should classify each stream before calculating the quantities relevant to its producer reporting.
For the finished-equipment and spare-components example, prepare separate lines showing what each item is, how it is supplied and the evidence for its proposed treatment. A common invoice or stock-group label should not hide these distinctions. The working file should show which mapping decisions are settled and which still need technical or regulatory clarification.
Scope, fees and responsibilities
Coverage and obligations depend on the rules, role and period. We do not issue recycling certificates or certify a recycler’s physical operations. Data destruction and information-security services require a separate scope.
The proposal identifies the deliverables, client data responsibilities and follow-up included. Government charges and external technical work are quoted separately where applicable.
The handover includes the model mapping, reconciled quantity file, supporting documents and outstanding exceptions. Identify who will approve the business facts, maintain the product register and complete the agreed portal actions. Keep submission acknowledgements and subsequent queries with the relevant version; preparing a file does not itself establish that reporting or other obligations have been fulfilled.
