E-invoicing and e-way bills

Set up a practical document process for invoicing and goods movement where the relevant rules apply.

Define the GST work

We assess applicability for the entity and transactions, map the data fields and organise exception handling between billing, logistics and accounting. The handover can include an operating checklist and reconciliation points.

Map the point at which invoice and movement data are created, checked and passed between teams. Identify who owns customer and item master data, who handles rejected records and who confirms the document status before the next operational step. Separate the planned workflow from the configuration currently in use.

Records needed for a useful assessment

  • Turnover history
  • supply types
  • customer master
  • invoice system details
  • dispatch workflows
  • transporter information
  • existing generated records.

Retain the source invoice and the corresponding generated record or error response. Compare key document references and amounts through to the accounting export. Keep failed attempts visible so they are not counted as completed documents in a dashboard or dispatch checklist.

A transaction detail that matters

The NIC e-invoice overview explains that the Invoice Registration Portal assigns an identification number and passes invoice information onward to GST and e-way bill systems. In the operating checklist, distinguish the registered invoice response, the downstream data and any remaining return or transport steps.

An e-invoice record and a transport document solve different reporting needs. A dispatch team should know which information it needs and who corrects a failed or inaccurate record.

The official e-way bill FAQs distinguish a temporary Part-A slip from a generated e-way bill. Where the process is waiting for transport details, the team should track that incomplete status explicitly. Saving invoice information in Part-A should not be reported internally as completion of the whole generation process.

For example, a corrected customer master may fix future invoices while leaving an earlier generated record unchanged. Identify the affected documents and assess the appropriate correction process for each. Updating the master data alone does not demonstrate that the historical document problem has been resolved.

What your proposal will cover

Software integration, bulk remediation and product-specific legal opinions are separately estimated. Current thresholds and exclusions are checked before implementation.

The written engagement confirms the GSTINs, periods, deliverables and responsibilities. Government payments and professional charges are identified separately.

The handover identifies data-field owners, validation points, exception queues and the evidence used to confirm completion. Agree which integration or correction tasks are included and who handles subsequent operational failures. A successful system response should be reconciled to the intended transaction rather than treated as blanket confirmation of its tax treatment.
