Define the GST work
We index the requested records, reconcile submitted figures and coordinate draft explanations with the authorised team. An issue tracker records requests, responses and unresolved points.
Start with the complete communication and attachments, the GSTINs and periods covered, and the record of receipt. Map each request to its evidence, record owner and proposed response. Distinguish a request for documents from an issue that needs a factual explanation or a separately considered legal position.
Records needed for a useful assessment
- Audit communication
- covered-period returns
- books and reconciliations
- invoices
- agreements
- prior explanations and orders.
Preserve the records originally used in the returns and identify any later revisions. Keep a submission index showing document versions and the request each document addresses. Missing information should be recorded as a gap to resolve, rather than replaced with an unsupported explanation or a recreated record presented as original.
A transaction detail that matters
The same turnover figure should be traceable across the books, return reconciliation and response annexure. A late change in one schedule should be reflected consistently.
For example, a response schedule may initially use provisional accounts while the final accounts contain a later adjustment. Prepare a bridge explaining that change and update the related annexures consistently. Retain the earlier submitted version so the team can explain the sequence if the authority asks about it.
What your proposal will cover
Legal representation, contested positions and subsequent proceedings require an express mandate. An audit response cannot guarantee the authority’s conclusion.
The written engagement confirms the GSTINs, periods, deliverables and responsibilities. Government payments and professional charges are identified separately.
The handover includes submitted responses, available acknowledgements, the issue tracker and owners for outstanding requests. Record the authority’s observations separately from management explanations and advice. Submission does not establish acceptance or audit closure; any subsequent demand or proceeding needs its own assessment and agreed response scope.
References and official procedures
Section 65 and rule 101 are the starting references for departmental audit. Check the current provisions, the actual notice and the period covered before preparing the response.
