Energy and renewables

Connect project permissions, construction records and operating finance to the actual role your energy business performs.

Start with the asset and commercial model

An equipment supplier, engineering contractor, rooftop installer and generation-project owner need different responsibility maps. Record who owns the installation, sells electricity, maintains equipment and signs the connection agreement. Distinguish captive consumption from a sale to another customer before evaluating the applicable electricity arrangements.

Separate project gates from business registrations

Build a project register for land or rooftop rights, design responsibility, grid connection, metering, electrical safety and applicable environmental permissions. The relevant electricity commission, distribution utility and electrical inspector depend on the project and jurisdiction. Company registration alone does not establish permission to commission an installation.

The CEA safety register includes the 2023 regulations and a 2026 amendment. Use the applicable instruments together when assigning inspection, testing and operating responsibilities; do not rely on an old commissioning checklist.

Prepare an evidence pack

  • Site rights, sanctioned layout, technical specifications and installed equipment identifiers.
  • EPC scope, milestone certificates, change orders, warranties and operations contracts.
  • Connection correspondence, inspection records, meter readings and commissioning evidence.
  • Contractor deployment, safety training, incident records and authorised access to monitoring systems.
  • Import documentation and product-conformity records where equipment is sourced overseas.

Keep construction and operating accounts connected

Track advances, retention, capital work in progress and asset commissioning separately. Reconcile generation or service statements to invoices and collections. Assess the actual supply and contract for GST treatment instead of treating equipment, installation and electricity receipts as interchangeable.

For example, a rooftop project may reach an installation milestone before its connection process finishes. Its finance team should distinguish the contractor’s certified work from the owner’s operational start date and preserve the supporting records.

Set the handover responsibilities

Name the owner of periodic maintenance, safety records, contract reporting and end-of-life equipment handling. Battery and other waste streams need a separate applicability review. Kosha can help organise finance, contracts and compliance records; technical design, certification and statutory inspection require the appropriately authorised specialists.

Choose support for the project workstream

Energy and infrastructure approval coordination starts with the site, capacity, ownership and connection arrangement. Supply current drawings and correspondence from the responsible technical team so the document register describes the actual project.

Fixed-asset accounting support connects equipment records, project costs and supporting completion evidence. Keep unresolved supplier claims, retention and incomplete work identifiable in the schedules.

Commercial contract review addresses the agreed scope, milestones and handover responsibilities. Provide the EPC or service agreement together with approved changes, rather than reviewing only the original contract after the project has evolved.

Keep project revisions connected

For an equipment substitution, record the revised specification, commercial change and the technical team’s supporting documents. Identify which drawing, warranty schedule and asset record must be updated, and preserve the earlier version for traceability.

At handover, separate installed equipment, accepted work and outstanding rectification items. Assign an owner to each open item and retain the evidence used to close it, giving the operating team a usable project history rather than an unsorted collection of contractor files.
