Nonprofits and social enterprises

Make programme funding, governance and trading activity traceable without assuming one social-purpose label determines every obligation.

Identify the legal and operating model

A trust, society, Section 8 company and for-profit social enterprise have different governing frameworks. Record the entity, objects, programmes and revenue sources before choosing registrations or describing tax benefits.

Separate the funding streams

Keep donations, restricted grants, programme fees and commercial receipts identifiable in the accounts. Review each funder’s conditions and the actual purpose of the receipt. Foreign-contribution questions must be assessed before accepting relevant funds; a domestic registration does not settle that question.

Build a programme evidence file

  • Grant agreement, budget and approved changes.
  • Expenditure and allocation support for shared costs.
  • Governance approvals and conflict records.
  • Asset ownership and beneficiary-data responsibilities.
  • Reports submitted to funders and authorities.

Review operations as well as status

Staff, premises, procurement and data processing create practical obligations even for a charitable programme. A healthcare or education activity can bring its own sector requirements. Trading operations need a distinct accounting and tax assessment.

An example

A grant covering one district should not be reported as fully spent using a group-wide expense total. Retain a defensible allocation and evidence of the permitted programme activity.

Scope of assistance

Kosha can coordinate books, utilisation records and the compliance calendar. Tax-exemption opinions, foreign-contribution advice and statutory certifications are separately scoped with qualified professionals. No automatic donation deduction, funding eligibility or approval is promised.

Bridge programme reporting to the books

Prepare a schedule that connects each reported programme cost to the ledger, supporting document and agreed budget heading. Keep advances, unpaid invoices and expenditure already settled distinguishable. Record the reporting basis requested by the funder so a cash report is not silently treated as the organisation’s full accounting position.

For example, an advance paid to a field partner may remain partly unused at the reporting date. Retain the advance payment, expenditure statement, supporting records and remaining balance as separate parts of the reconciliation. Record any unresolved evidence request instead of treating the entire transfer as confirmed programme expenditure.

Bookkeeping and monthly-close support can help organise this bridge, including shared-cost allocations and adjustments between reporting periods. Bring the grant terms, chart of accounts, previous report and current exception list.

For the governing entity’s wider worklist, use the Section 8 company or trust and society guidance. Keep the programme report, entity accounts and any separately required certification identifiable in the engagement scope.
