Separate classification from reporting
MCA’s DPT-3 instruction kit distinguishes returns of deposits, particulars of transactions not considered deposits and a combined reporting purpose. A receipt excluded from the deposit definition can still require examination for reporting.
First establish whether the company and transaction fall within the applicable rules. Then identify the correct purpose and reporting period. Do not choose the historical one-time return merely because it appears as an available option.
Start from the ledgers
Obtain the trial balance and schedules for money received, borrowings, advances and other relevant balances. Trace each item to its counterparty, receipt date, terms and supporting document. A ledger caption such as unsecured loan does not establish the legal classification.
Reconcile the opening balance, receipts, repayments and closing balance. Keep interest and other components identifiable where needed, and explain differences between the ledger, confirmation and bank records.
Document the basis for exclusions
For each amount treated as not being a deposit, record the specific basis and evidence supporting the conditions. Review the lender’s relationship and status, the purpose of the money and any time-dependent conditions relevant to the category.
For example, an amount described as a director loan needs the supporting facts and declarations applicable to that exclusion. The word director in the ledger does not by itself establish that every condition was satisfied.
Build the assessment schedule
- Counterparty name and relationship to the company.
- Date and amount of each relevant receipt or balance.
- Agreement, declaration or other supporting evidence.
- Classification and the provision relied on.
- Conditions that must continue to be met.
- Repayment, adjustment or conversion history.
- Reporting category and unresolved questions.
Prepare the filing evidence
Match the selected form purpose to the completed assessment. Assemble the required financial information, supporting schedules and attachments under the current instruction kit, including the applicable audit or certification requirements.
Review the reportable period and deadline for the particular filing. Treat a year-specific fee relaxation or historical circular as limited to its stated scope rather than carrying it forward to every subsequent year.
Do not use filing as a cure
Reporting an amount does not establish that accepting or retaining it was permitted. If a receipt appears to be a deposit or an exclusion condition has failed, review the substantive position and corrective steps separately.
Keep the facts and chronology intact. Do not relabel a balance or create a retrospective declaration solely to make the filing easier. Escalate unresolved classification issues before the return is signed.
Reconcile with other records
Compare the final schedule with the financial statements, related-party records and borrowing approvals. Where a balance is converted into securities or repaid, link the supporting event documents rather than silently deleting it from the history.
Save the filed form, attachments, acknowledgement and final status with the classification note. Kosha.Services can help organise the receipt review and reporting schedule; provide the ledger detail and original terms rather than only a year-end total.
