Start the exit clock from the correct event
Record whether the exit follows resignation, dismissal, retrenchment, retirement, expiry of a fixed term or closure. Keep the notice, acceptance or decision, effective date and last working day together. These events can have different notice, compensation and procedural consequences; one generic resignation checklist is not enough.
Section 17(2) of the Code on Wages, 2019 provides a two-working-day wage-payment rule for removal, dismissal, retrenchment, resignation and unemployment resulting from closure. Review the applicable government provisions and other relevant law. This wage rule should not be described as a single deadline for every component of a full-and-final settlement.
Build a component-level settlement sheet
Use a calculation sheet that identifies the source, period, gross amount, permitted deductions, net amount and due date for each component. Separate a disputed amount from the undisputed amounts rather than marking the entire settlement “on hold”.
- Wages through the relevant last day, including approved attendance adjustments and overtime where applicable.
- Earned variable pay or commission assessed against the governing scheme and evidence.
- Unused leave treatment under applicable law and the employment terms.
- Gratuity, retrenchment compensation or other statutory benefits where the relevant conditions are met.
- Approved business expenses, advances and properly supported recoveries.
- Tax withholding, payroll reporting and contribution adjustments for the affected period.
Coordinate clearance without treating it as a payment rule
Assign owners for equipment, customer work, passwords, expenses and document handover. Use a dated inventory with the employee’s response and an escalation path for missing items. An internal clearance form does not itself establish a lawful deduction or permit statutory payment deadlines to be ignored.
For example, if a laptop is not returned but wages are due, finance should obtain a legal assessment of any proposed recovery and its limits. Do not automatically deduct the replacement price merely because an asset register records the employee as custodian.
Check sensitive exits before issuing documents
Redundancy, disciplinary dismissal, protected leave, an active complaint and disputed notice periods need individual review before the business communicates a final decision. Preserve the relevant investigation, consultation and approval record where applicable.
Keep the explanation of the exit consistent across the employee communication, payroll record and statutory reporting. Avoid asking someone to sign a statement that contradicts the actual reason for departure or suggests that statutory entitlements disappear through a standard release.
Close payroll, access and records
Send an intelligible settlement statement showing how each amount was calculated and when it will be paid. Give the employee a contact for questions and retain payment confirmation. Track pending reimbursements or benefits separately until they are resolved.
- Coordinate the effective payroll exit date with the relevant contribution and tax records.
- Issue applicable service, experience, relieving and tax documents without inventing a universal format or deadline.
- Revoke access at the appropriate time, transfer business records and preserve material needed for a dispute or retention obligation.
- Maintain restricted access to personnel records; avoid circulating settlement details through general team channels.
Documents to bring to the review
Provide the appointment letter and amendments, exit correspondence, attendance and leave records, recent payslips, incentive terms, expense claims, advance balances, benefit calculations and clearance record. Include any grievance or dispute that affects the exit.
Kosha.Services can organise the calculation and reconciliation workflow, identify missing inputs and coordinate payroll closure. The decision on a contested dismissal, benefit or recovery requires review of the individual facts and applicable law.
