Define the claim and relevant period
Identify the GSTIN, refund category, period and amount. Excess cash balance, accumulated credit, export-related claims and refunds following an order do not use an identical evidence pack or calculation. Confirm the permitted route and any exclusions for the particular claim.
Record the relevant-date analysis and applicable limitation period before preparing the application. Do not assume that every refund uses the same starting date or that a rejected upload preserves the filing date.
Build a category-specific document index
List the statements, declarations and supporting documents prescribed for the selected category. Check the current portal utility and instructions before formatting a large invoice file; an old PDF checklist may not reflect the present upload process.
- Export-related claims: relevant invoices, supply or shipment evidence and receipt documentation as applicable.
- Accumulated-credit claims: purchase data, eligibility review, turnover computation and the applicable refund formula.
- Excess-payment claims: original liability, payment records and the calculation establishing the excess.
- Order-based claims: complete order, payment history and evidence linking the amount to that order.
- Cash-ledger claims: ledger balance and the relevant account and application details.
Reconcile the amount before filing
Create a bridge from books and transaction statements to filed returns, electronic ledgers and the proposed claim. Identify amounts excluded from the calculation and explain why. Check earlier applications to prevent claiming the same invoice, period or amount twice.
For example, an export-service invoice and bank receipt may differ because of a partial payment or a deduction. Reconcile the difference and assess the applicable treatment rather than entering the full invoice value merely to match the sales register. Keep the underlying contract and receipt evidence available.
Check credit and turnover inputs separately
A credit appearing in a statement does not alone establish that it is eligible for the particular refund category. Review the permitted inputs, exclusions and any required allocation. Preserve the calculation by tax head and period.
Likewise, confirm the turnover definitions used in the relevant formula. A financial-statement revenue total may include items that need a different treatment for the refund computation. Document the adjustments instead of changing the source accounts.
Submit a complete, readable application
Validate invoice references, GSTIN, bank details, declarations and attachments against the final calculation. Retain the application version approved for filing. Complete the relevant verification and keep the generated reference and any ledger debit evidence.
GSTN’s refund-process advisory distinguishes the application from acknowledgement and deficiency processing. A submitted application is not a sanction, and a sanction is not proof that money has reached the bank account. Track these stages separately.
Respond to deficiencies and queries
Read a deficiency memo or notice in full and classify the required action. A deficiency correction and fresh application process differs from a reply contesting a proposed rejection. Follow the applicable procedure, preserve the original reference and reassess limitation where necessary.
Maintain an issue schedule linking each requested clarification to a document or calculation. Check any ledger re-credit against the actual account before reusing the amount. Do not assume a portal status alone resolves an accounting difference.
Close the claim only after reconciliation
Compare the sanctioned, rejected, adjusted and paid amounts with the claim. Retain the order and disbursement evidence, reconcile the bank receipt and account for any remaining balance. Assess any challenge to a rejection under the applicable remedy and deadline.
Bring the category and period details, filed returns, ledgers, invoice schedules, supporting supply and receipt records, prior applications and notices to Kosha.Services. We can organise the evidence and calculation review; refund eligibility and the eventual decision depend on the actual claim and governing rules.
