Income tax notice response checklist

Read the complete communication, establish the response deadline and map every question to supporting evidence. A clear, indexed response is easier to prepare and verify than an unstructured upload of financial records.

Authenticate and classify the communication

Download the full notice or order through the official Income Tax Department service and retain its reference, issue date, service details and attachments. Use the department’s notice-authentication facility where applicable. Do not rely only on the subject line of an email or a forwarded screenshot.

Identify the taxpayer, relevant period, issuing authority, provision, requested action and due date. A defective-return communication, information request, proposed adjustment, demand and assessment order can require different responses. Determine whether the 1961 Act or 2025 Act governs the proceeding and period before using a section reference or form.

Set ownership and preserve the deadline

Assign a response owner, an evidence owner and a reviewer. Record the deadline shown in the communication and any applicable legal time limit. Where more time is needed, use the permitted adjournment process and retain the request and outcome; a request alone should not be treated as an extension.

Check the portal route for this particular communication. The department’s e-Proceedings manual describes viewing and responding to notices and seeking adjournments. Other functions, such as outstanding-demand responses or compliance-portal requests, may have their own workflow.

Build an issue-and-evidence schedule

  • Quote or summarise each numbered question without changing its scope.
  • State the relevant fact and the position proposed in response.
  • Identify the ledger, return schedule, bank entry or third-party document supporting it.
  • Record differences between the notice data and the business records.
  • List missing evidence, its owner and the date expected.
  • Assign annexure numbers and cross-reference them in the response.

Reconcile before explaining

For an apparent receipts mismatch, compare the return, books, bank credits and the relevant information statement. Identify timing differences, duplicates, advances, reversals or classification differences only where the records support them. Do not label every unmatched receipt “non-taxable” without a basis.

For an expense query, connect the ledger entry to the agreement, invoice, business purpose, payment and applicable tax treatment. Keep original records intact. If a record is unavailable, explain the gap and the alternative evidence honestly rather than creating a retrospective document.

Prepare a readable submission

Use a short introduction identifying the proceeding, then answer the questions in the notice’s order. Separate factual explanations from legal submissions. Include a computation bridge where amounts change between records, and make annexure labels match the uploaded files.

Check file formats, size limits, legibility and the final preview in the actual portal. Avoid sending unrelated employee or customer information when a focused extract is sufficient. Keep an exact copy of the version approved for submission.

Verify submission and follow-up

Submit through the correct authorised account or representative process and complete any required verification. Retain the acknowledgement, transaction reference, date and the files actually submitted. A saved draft or successful file upload alone does not establish that the response was filed.

Monitor subsequent communications and keep an action log. A submission acknowledgement does not establish acceptance of the tax position or closure of the proceeding. If an order follows, assess the available response, rectification or appeal route and its own time limits separately.

Documents to bring to Kosha.Services

Bring the complete notice, portal history, relevant return and computation, financial statements, issue-specific ledgers, bank evidence, prior replies and orders. Provide a chronology of facts and identify any deadline already missed.

Kosha.Services can organise the evidence schedule, reconcile figures and coordinate preparation of the response. A disputed legal position or challenge to an order requires advice based on the actual proceeding; this checklist does not promise a particular assessment outcome.
