What the assignment covers
We identify the authority, scope and period, organise requested records and coordinate factual responses with the authorised employer team. Outstanding requests and discrepancies remain visible in a response tracker.
Start with the complete notice, its attachments and the record of receipt. Map each request to the establishment, period, record custodian and proposed response. This gives the employer a clear view of what is available, what needs an explanation and which questions require advice before responding.
Records to prepare securely
- Inspection notice
- proof of receipt
- payroll and attendance
- contracts
- registrations
- statutory payments
- previous submissions.
Keep source records intact and identify the version used for every response. A missing register, an unexplained difference and a record held by a contractor are different issues; record each accurately. Any reconstruction should identify its supporting evidence and limitations, rather than create an apparently contemporaneous record after the event.
A workforce detail to resolve
A headcount figure should be reconcilable across the payroll, attendance and contractor deployment records. Explain genuine differences rather than sending inconsistent totals.
For example, a payroll report may list everyone paid during a month while a site attendance report covers only people present at one location. Prepare a reconciliation explaining the populations, dates and exclusions, with supporting records. Do not adjust the source reports simply to make their totals match.
Scope and responsibilities
The engagement does not guarantee the authority’s conclusion. Representation, contested demands and proceedings require an express mandate.
Agree the establishments, worker categories, periods, deliverables and fees in writing. Initial enquiries should omit employee identifiers, medical information and complaint records.
The handover includes the response index, approved factual explanations, submitted versions and available acknowledgements, together with owners for outstanding requests. Submission acknowledgement is evidence of submission; it does not establish acceptance of the explanation or closure of the inspection. Track subsequent communications separately, and do not assume an extension merely because one has been requested.
