What the assignment covers
We organise registration details, employee changes, contribution-period inputs and payment reconciliation. The assignment identifies unresolved coverage facts rather than applying one assumed wage or headcount rule to every establishment.
Start with the employer’s location and workforce records, then identify the period and employee population covered by the assignment. Keep factual inputs separate from coverage decisions that still need to be resolved. This prevents a payroll export from silently becoming the basis for an unexamined eligibility assumption.
Records to prepare securely
- Employer registration
- employee particulars
- wage and attendance data
- previous contributions
- joining/exit details
- correspondence.
Use a dated change list for additions, departures and corrections, with the supporting source and person confirming each change. Retain the contribution working alongside the payroll version used. Access to employee particulars should be restricted to the people preparing or resolving the record; routine payroll coordination does not require circulating medical information.
A workforce detail to resolve
A location change or revised employee record can affect more than the current payroll export. Keep a change history so the portal and employer records can be reconciled.
For example, an employee may transfer between locations while remaining on the same employer’s payroll. Record the actual transfer facts and compare them with the existing employer and employee records before deciding which updates are needed. Do not assume that a new payroll location automatically explains or completes a portal change.
Scope and responsibilities
Benefits adjudication, employee claims, inspections and disputed historical liability require separate scope.
Agree the establishments, worker categories, periods, deliverables and fees in writing. Initial enquiries should omit employee identifiers, medical information and complaint records.
The period handover records the calculation basis, available submission and payment evidence, unresolved employee-record queries and the owner of each next action. A prepared contribution working is distinct from a completed payment. Questions about an individual benefit or claim follow their own process and are not treated as resolved by completing the employer’s routine contribution work.
