What the assignment covers
We map activities, machinery, occupier/manager responsibilities and the relevant authority, then coordinate the agreed approvals and record checklist. Technical safety and engineering inputs are identified early.
Build a dated description of the site as it operates today and a separate description of any proposed change. Identify the people who can confirm process, machinery and workforce facts. This creates a usable baseline for the legal and technical advisers without treating an old application as a complete description of current operations.
Records to prepare securely
- Site and layout records
- process description
- workforce and shifts
- machinery details
- permissions
- inspection history
- safety records.
Label drawings and process descriptions with their version and date. Match permissions to the premises, activity and conditions they actually describe, and record unanswered inspection points. A document inventory should distinguish a missing copy from an approval that has not been obtained; those situations need different follow-up.
A workforce detail to resolve
Adding a production line can affect the operating facts even if the address stays the same. Review change requirements before relying on the existing approval file.
For example, an expansion may change machinery, shifts and the internal layout together. Prepare one change schedule so that specialists assess the same proposed configuration. Keep proposed, submitted and implemented drawings distinguishable, rather than allowing different teams to work from incompatible versions.
Scope and responsibilities
Engineering certification, environmental permissions and physical safety audits are separately scoped.
Agree the establishments, worker categories, periods, deliverables and fees in writing. Initial enquiries should omit employee identifiers, medical information and complaint records.
The handover lists the records assembled, applications or responses submitted, authority queries and technical inputs still outstanding. Assign an owner to each condition or follow-up action. Administrative coordination does not establish that machinery or a workplace is physically safe, and an application acknowledgement should not be presented as permission to operate.
