Payroll statutory compliance

Coordinate statutory payroll workings and records with the approved employee data for each period.

What the assignment covers

We organise joining and exit changes, coverage inputs, contribution or deduction workings and submission/payment evidence. Exceptions are flagged before authorisation so payroll and statutory records remain reconcilable.

  1. Confirm the period, establishments and employee data cutoff.
  2. Reconcile joining, exit and pay changes to authorised inputs.
  3. Prepare the agreed statutory workings and exception list.
  4. Track authorised submissions and payments, then retain the evidence.

Keep calculation, authorisation, payment initiation and confirmed payment as separate stages. A prepared challan or uploaded file does not by itself establish settlement.

Records to prepare securely

  • Approved payroll
  • attendance and leave inputs
  • employee coverage details
  • contribution records
  • challans
  • joining and exit dates.

Maintain a change log showing the input source, effective period and authorising person. Provide opening unresolved differences and prior corrections so they are not lost in the current cycle. Employee-level records belong in restricted access, with summary reports used where detailed identifiers are unnecessary.

A workforce detail to resolve

A mid-period joiner or a retrospective pay adjustment needs a traceable treatment. A total payroll figure alone cannot explain the employee-level statutory record.

For a retrospective adjustment, identify the affected employee, original period, reason and approved amount. Reconcile the treatment across payroll, statutory workings and accounting records, and retain any unresolved question for assessment. Avoid inserting a balancing total that cannot be traced to its source.

Scope and responsibilities

The proposal fixes headcount, establishments, registrations and covered tasks. Salary disbursement, legal opinions and old arrears are expressly addressed.

Agree the establishments, worker categories, periods, deliverables and fees in writing. Initial enquiries should omit employee identifiers, medical information and complaint records.

The monthly handover can include approved workings, submission references, confirmed payment evidence and outstanding exceptions with owners. It distinguishes the covered statutory tasks from salary processing, bank disbursement and historical remediation. The business should identify who maintains the next period’s employee changes and resolves rejected or incomplete submissions.
