We map the vehicle class, ownership, operating geography and carriage activity before preparing permit documentation. Vehicle registration, fitness, insurance and permit conditions are recorded as distinct items.

Support can include a fleet document register, expiry tracker, application pack and discrepancy list. For multi-state operations, the assignment identifies which authorisations and state procedures require confirmation.

Build the fleet register around vehicle registration numbers, with separate fields for operator, ownership arrangement, intended activity and operating area. Record vehicles awaiting deployment separately from those already in use so document gaps can be matched to the actual rollout plan.

Check that registration numbers and holder details agree across the documents supplied. Retain the full permit and its conditions, not only the front page, and distinguish an application receipt or payment acknowledgement from an issued authorisation in the tracker.

A practical example

A fleet expanding beyond its existing operating area should review permit coverage before allocating vehicles to the new route. A current registration certificate alone does not establish that coverage.

If a logistics business reallocates vehicles between two operating regions, compare the proposed movements vehicle by vehicle. A fleet-wide statement that documents are current can hide a mismatch affecting only one vehicle or a particular type of carriage.

Scope and responsibilities

Permit availability and conditions depend on the competent transport authority. We do not guarantee routes or timings. Driver eligibility, hazardous-goods handling and warehouse permissions are separately assessed where relevant.

The engagement letter records the sites or products covered, filing assistance, query support and fees. You approve the factual application details and retain responsibility for ongoing operations.

Provide an exception list alongside the document register: missing evidence, inconsistent holder details, pending authority queries and documents awaiting renewal review. Assign maintenance of the register to an operator contact and retain the basis for marking each item complete.
