The question and deliverable

We build a transaction chronology, organise cost and valuation evidence and assess the relevant computation questions. For employee equity, grant, vesting, exercise and sale are distinguished rather than collapsed into one event.

Prepare an event register for each asset or equity award, recording the quantity, relevant dates, amounts and source documents. Identify partial disposals, corporate actions and changes to the award terms separately. The register gives the computation a traceable factual basis and highlights records that must be obtained from the employer, broker or transaction counterparty.

Evidence to prepare

  • Grant or plan documents
  • acquisition and disposal records
  • valuations
  • exercise and payment details
  • residency history
  • tax withholding evidence.

Reconcile broker statements and employer records to payments made and proceeds received. Keep original currency amounts and the evidence used for any conversion visible. Where historic acquisition records are missing, flag the gap rather than treating an estimated amount as confirmed cost. For employee awards, retain the plan terms alongside the individual grant and exercise confirmations.

A fact that can change the analysis

An employee may pay on exercise and sell later at a different value. Keep the two events and their supporting records distinct when reviewing the tax position.

For example, the amount credited to a bank account after a share sale may be reduced by fees, taxes or amounts retained by an intermediary. A reconciliation should show the sale consideration and each deduction separately. Using the bank receipt alone can obscure the transaction details needed for the computation and the reconciliation of taxes already withheld.

Engagement boundaries

Valuation certification, foreign tax advice and payroll implementation are separately identified.

The written proposal confirms the taxpayer, period, deliverables and fees. Identify any payment, response or appeal date at the start.

The agreed output identifies the events reviewed, computation assumptions and evidence still outstanding, with a handover to the person preparing the relevant return or payroll records. A change in residency or an overseas award may require additional country-specific advice. Record who will resolve those questions before relying on the calculation for the final filing.
